Basic Workflow

Follow these steps to ensure the patient is registered, the visit is charted and the patient billing done. 1. Appointment Check-In When a patient arrives: - Check for Alerts: Look for an exclamation mark on the appointment in the schedule, indicating outstanding consent documents or unsigned terms and conditions. - Verify Registration Status: Click the appointment status to view the registration notification, which indicates if registration is required - Register the Patient: - Option 1: Send Registration Link: Click the "Register" button to send a registration link to the patient. - Option 2: Generate PIN: If a tablet signed into HealthAccess is available at reception, click the appointment status, select the PIN hyperlink, and open the registration form for the patient. - Update Status: Once registration is complete, update the appointment status to "Waiting" to notify the provider of the patient’s arrival. 2. Patient Visit To begin the patient visit: - Create Visit: From the schedule, click the status button and select "Create Visit." This step is critical for tracking procedures for billing. - Steps During the Visit: 1. Review Consent Documents: Confirm that consent for the procedure is documented. 1. Review Questionnaire: If your practice uses a questionnaire, review the patient’s responses. 1. Create Injection Record: For injectable patients, document the injection details. If injection icons are set up, quantities and values will autopopulate. 1. Document Clinical Note: Record the procedures performed in the clinical note. If an injection record was created, relevant details will default. 1. Finalize Visit: Click "Save" or "Sign Off" to complete the visit. The appointment status on the calendar will update to reflect completion. 3. Billing and Payment After the visit: - Create Bill: From the schedule, click the status icon and select "Create Bill." Procedures from the visit will automatically will automatically populate the invoice. - Adjust Invoice: Add retail products or make necessary adjustments to the bill. - Process Payment: Click "Save and Pay" to finalize the invoice. Once payment is captured, the appointment status automatically updates to "Paid.
